This policy explains what personal data Kalvo collects, why, and how it is handled. Kalvo is a voice AI service that answers calls, website chat, and email for businesses, so it processes both data about the businesses that use it and data about the people who contact those businesses. Personal data is handled in line with UK GDPR.

Who we are

Kalvo is a voice AI receptionist service for businesses, operated from the Channel Islands. When a business uses Kalvo to answer its calls and messages, that business is the controller of its customers’ data and Kalvo acts as its processor. For our own website and account data, Kalvo is the controller.

What we collect

Account data: the name, email, and business details of the people who sign up for Kalvo, and the settings and knowledge base they provide.

Conversation data: recordings, transcripts, and summaries of the calls, chats, and emails Kalvo handles on a business’s behalf, including the contact details a caller provides so the business can follow up.

Website data: basic, cookieless analytics about visits to this site, used only to understand which pages are useful.

How we use it

We use account data to provide the service, bill for it, and support customers. We use conversation data to answer calls and messages, book appointments, and give each business the summaries and records of its own conversations.

We do not sell personal data. We do not use a business’s conversation data to train models for other customers.

How long we keep it

We keep account data for as long as an account is active, and for a limited period afterwards to meet legal and accounting obligations. Conversation data is retained for the period each business chooses in its settings, after which it is deleted.

Your rights

Under UK GDPR you have the right to access, correct, or delete your personal data, to object to or restrict its processing, and to data portability. If your data was processed by Kalvo on behalf of a business you contacted, we will direct your request to that business, which is the controller.

Security

We protect data with encryption in transit and at rest, access controls, and audit logging. No system is perfectly secure, but we take reasonable and appropriate measures to keep personal data safe.
